The best way to reduce moving-day surprises is to document the expected work and the process for approving changes. You cannot predict every obstacle, but you can avoid leaving obvious uncertainties unresolved.
Find the uncertain parts now
Walk the route from each room to the likely truck position. Check door widths, turns, stairs and lift restrictions. Tell the mover about bulky objects, hidden storage and any item you cannot dismantle yourself.
Ask the building manager whether a loading reservation or protective covering is needed. Send the answer to the mover. A booking does not itself reserve building facilities.
Agree on a change process
Use a short written request: “If work outside this scope becomes necessary, please explain the reason, proposed method and additional amount before proceeding. Who should approve the change?”
Keep the original inventory and later updates in the same conversation. If a disagreement appears, pause the disputed task where practical and clarify the facts rather than trying to resolve it while furniture is being carried.
What if I add boxes at the last minute?
Notify the provider before dispatch. Ask whether the vehicle, crew or estimate needs adjustment.
Does this guarantee there will be no extra expense?
No. It creates a clearer record and decision process. Actual responsibilities depend on the agreement and the circumstances; this is preparation advice, not a ruling on a dispute.
